Study Buddie ("we", "our", or "us") is committed to protecting the privacy of schools, teachers, students, and parents who use our platform. This Privacy Policy explains how we collect, use, store, and protect your personal information when you use our website (https://parakk-erp.site) and mobile/web application.

1. Introduction

Study Buddie is designed to support school operations and learning visibility with privacy at the center of every interaction.

2. Information We Collect

We collect the following types of information:

  1. a. Account & Registration Data
    • School name, address, and contact details
    • Administrator, teacher, and staff names and email addresses
    • Student names, class/grade, roll numbers, and parent contact information
  2. b. Usage & Learning Data
    • Attendance records
    • Academic performance, grades, and test scores
    • Study time, self-study patterns, and learning engagement data (for Learning Visibility features)
    • App usage logs and interaction data
  3. c. Financial Data
    • Fee payment records and transaction history (processed via secure third-party payment gateways; we do not store full card/bank details)
  4. d. Device & Technical Data
    • IP address, browser type, device type, operating system
    • Cookies and session data for authentication and analytics

3. How We Use Your Information

  • Provide, operate, and improve the Study Buddie ERP and Learning Visibility platform
  • Generate attendance, performance, and learning analytics reports
  • Send notifications and alerts to parents, teachers, and administrators
  • Process fee payments and generate financial reports
  • Identify at-risk students using predictive analytics (machine learning models)
  • Respond to support queries and improve customer service
  • Comply with applicable Indian laws and regulations

4. Data Sharing & Disclosure

We do not sell your personal data. We may share data with:

  • School Administrators: Who have authorized access to their institution's data
  • Service Providers: Third-party vendors (cloud hosting, payment gateways, SMS/email services) under strict confidentiality agreements
  • Legal Authorities: If required by law, court order, or government regulation under Indian law (IT Act 2000, DPDP Act 2023)
  • We do not share student data with advertisers or unauthorized third parties.

5. Data Storage & Security

  • All data is stored on secure cloud servers (located in India where possible)
  • We use industry-standard encryption (TLS/SSL) for data in transit
  • Access to sensitive data is role-based and restricted
  • We conduct regular security audits
  • In the event of a data breach, affected users will be notified within 72 hours as required by applicable law

6. Children's Privacy

Study Buddie serves schools that include minor students. We do not directly collect data from children under 13 without verified parental/school consent. All student data is managed through the school administrator account.

7. Cookies

We use essential cookies for login sessions and non-personal analytics cookies. You can disable cookies in your browser settings, though some features may not function properly.

8. Your Rights

Under the Digital Personal Data Protection Act 2023 (India), you have the right to:

  • Access your personal data
  • Correct inaccurate data
  • Request deletion of your data (subject to legal obligations)
  • Withdraw consent at any time

9. Data Retention

We retain data for the duration of your active subscription plus 2 years, unless a longer period is required by law or you request earlier deletion.

Terms & Conditions

These Terms & Conditions apply to all Study Buddie users, including school administrators, teachers, students, and parents. By accessing or using the Study Buddie platform, you agree to be bound by these terms.

1. Acceptance of Terms

By accessing or using the Study Buddie platform (website, web app, or mobile app), you agree to be bound by these Terms & Conditions. If you do not agree, do not use the platform.

2. Description of Services

Study Buddie provides a hybrid School ERP + Learning Visibility Platform including:

  • Student information and admission management
  • Attendance tracking (biometric/manual)
  • Fee management and payment processing
  • Academic performance tracking and report cards
  • Timetable and homework management
  • Teacher and HR management
  • Parent communication and notification system
  • Learning Visibility: gamified self-study tracking, effort analytics, and predictive student performance insights

3. Account Registration & Responsibilities

  • Schools must register with accurate and complete information
  • Each school is responsible for managing user accounts (teachers, students, parents) within their institution
  • You are responsible for maintaining the confidentiality of your login credentials
  • You must notify us immediately of any unauthorized access or security breach
  • One school subscription covers usage for that school's institution only

4. Acceptable Use

You agree NOT to:

  • Use the platform for any unlawful purpose
  • Share login credentials with unauthorized parties
  • Attempt to hack, reverse-engineer, or disrupt the platform
  • Upload false, misleading, or harmful data
  • Misuse student or parent data for purposes outside of school administration
  • Scrape, copy, or redistribute platform content or data without permission

5. Subscription & Payment Terms

  • Study Buddie operates on a subscription model (annual/custom plans for schools)
  • Fees are non-refundable once the subscription period has started, except as required by law
  • Failure to pay may result in suspension of access after a grace period (as communicated)
  • Pricing may change with 30 days' prior notice to the school administrator

6. Intellectual Property

  • All platform content, design, code, algorithms (including the Learning Visibility and predictive analytics engine), and branding are the exclusive intellectual property of Study Buddie and its creators
  • Schools retain ownership of their own institutional data
  • You may not copy, reproduce, or create derivative works from our platform

7. Data Ownership & Portability

  • Schools own their data (student records, attendance, fee data, etc.)
  • Upon termination of subscription, schools may request a data export within 30 days
  • After 30 days post-termination, data may be permanently deleted

8. Limitation of Liability

  • Study Buddie is not liable for indirect, incidental, or consequential damages
  • We do not guarantee 100% uptime but aim for 99.5% availability
  • We are not responsible for decisions made by schools based on platform analytics
  • Maximum liability is limited to the subscription fee paid in the last 3 months

9. Termination

  • Either party may terminate the subscription with 30 days' written notice
  • We reserve the right to immediately suspend or terminate accounts that violate these Terms
  • Upon termination, access to the platform will be revoked

10. Governing Law & Dispute Resolution

  • These Terms are governed by the laws of India
  • Any disputes shall first be attempted to be resolved through mutual negotiation
  • If unresolved, disputes shall be subject to the jurisdiction of courts in Pune, Mumbai, or Delhi as applicable
  • The Information Technology Act, 2000, and the Digital Personal Data Protection Act, 2023, apply

11. Modifications to Terms

We may modify these Terms at any time. Updated Terms will be posted on this page. Continued use of the platform after changes constitutes acceptance. We will notify school administrators via email for material changes.
